  • Remote Attendance (Foreground Process): To facilitate attendance for users working remotely, the app requires foreground location access to verify that the user is within a 50-meter radius of the designated remote site, confirming their presence.
  • Geofencing (Foreground Process): The app uses geofencing to determine if the user is within a designated area. This feature helps ensure users are present at specific locations as required for their tasks, enhancing the accuracy and reliability of remote attendance services.
  • Location Recording (Background Process): For users who frequently travel or have tasks outside their office premises, the app records their locations in the background. This background location recording provides a continuous and accurate record of locations visited and times, which is essential for documenting official tasks and visits without requiring the app to be open continuously.

 

Justification for Location Data Collection

Why Do We Need Background Location Access?

Background location access is essential for the application’s feature of continuous location recording, especially for users who frequently travel for field visits or have official tasks outside their office premises. This functionality allows users to seamlessly send their location data to the HRM web, enabling accurate monitoring of movements and visit timings. Location data is acquired at a frequency of 60 times per hour and transmitted 4 times per hour to the HRM web, initiated when the user presses the “Submit” button on the mobile punch interface. The recording continues until 10 PM and stops automatically. Users are always notified when this recording begins, ensuring transparency and awareness.

Why Do We Need Fine Location Access?

Fine location access is required to ensure high accuracy in location recording, which is crucial for the functionality we provide. This access enables the app to determine the user’s precise location using GPS and other sensors, allowing for accurate recording of specific places visited and exact times of presence. This level of precision is vital for users who frequently travel for field visits, ensuring reliable capture of their movements.

Core Functionality of Location Recording

The location recording feature is a core functionality of our application because it provides essential support for users who work remotely or frequently visit various sites. It enables accurate recording and documentation of their locations, ensuring accountability, operational efficiency, and compliance.

Transparency and User Notification

We clearly communicate to users when background location recording starts and ends. The user is explicitly notified when location recording begins, typically triggered by pressing the “Submit” button on the mobile punch interface. The recording continues until 10 PM, after which it automatically stops, providing a clear end to the recording period. These notifications ensure transparency and keep users informed throughout the process.

User Control

Users have full control over their location data. When the “Submit” button is clicked, users are prompted to accept or decline the location recording option. If they do not accept, the recording will not start. If they accept, the recording will continue only until 10 PM. Users are notified about the entire process, ensuring they are always aware of when their location is being recorded and for how long.

Data Security and Retention

At BRICKBOX, we prioritize the security and privacy of our users’ data. We do not share user data with any external entities. All data collected is exclusively accessible to authorized users within the Human Resource Management (HRM) web system and the Mobile application. This data is used solely for the intended purposes of the system, ensuring that user information remains confidential and secure.

By enabling location services, including both foreground location access and background location recording, you consent to the collection, use, and sharing of your data as described in this Privacy Policy. You have full control over your location data and can manage your permissions at any time.
